Bonjour tout le monde!
Cette semaine a eu lieu à l'e-Sport Arena une réunion dont voici le compte-rendu afin de vous présenter le projet de CDM 2019, si cette édition a lieu à Alphen! Nous avons tenté de répondre à toutes les questions que nous nous posions en amont, ainsi que les points qui avaient été soulevés sur le forum.
Karel voit Lars cette semaine pour définir plus précisément son deal de sponsoring concernant la nourriture, donc ne tenez pas compte du prix mentionné ci-dessous pour la bouffe, il sera moindre quoi qu'il arrive (voire nul si Lars nous sponsorise sur la totalité du CDM, ça reste à voir).
Le mail initial était en néerlandais, langue que j'ai sciemment oubliée, la traduction ci-dessous a été réalisée avec deepl translator en plus de mon cerveau et en refaisant un style "compte-rendu" à la troisième personne et pas tel que rédigé par Thomas. Excusez si certains passages sont nébuleux. J'ai remis la traduction deepl du dutch vers l'anglais plus bas, pareil, en essayant de corriger ce que j'ai pu.

Sachant que dans le courant du mois, l'e-sport arena nous enverra des infos, des photos etc.

La semaine du 12 au 18 août 2019
Coûts :
- Pour l'utilisation du lieu en exclusivité (mais ouvert aux spectateurs tout de même) et du studio avec matériel, y compris le support événementiel du lundi au samedi: 12,50 euros par personne et par jour
-Pour la bouffe: voir deal de Lars Nouwen expliqué plus bas
- Logement
35 euro pppn pour l'hôtel sur la base d'un minimum de 3 personnes par chambre (4 nuits)
ATTENTION Il y a un deal avantageux avec l'hôtel dans lequel la team UK a dormi l'an dernier. Seulement, ce deal sera soumis à une deadline très stricte quant aux réservations et aux paiements afin d'éviter les mauvaises surprises et cette deadline sera fixée à environ 2 mois avant le début du CDM. Passé ce délai, les personnes devront se débrouiller pour se loger (mais rassurez-vous, Alphen regorge de airbnb abordables et très proches de l'arena).

Installation du streaming le lundi
Diffusion sur la page d'accueil sur Twitch.tv/esportsgamearena pour tous les jours avec l'objectif d'obtenir au moins 50.000 vues (mais ils ne sont pas sûrs pour les 50.000 vu que le live sera en anglais et pas en néerlandais)
Aide avec la couverture du stream
Aide à la recherche de casters, dont Sargoth.
9 écrans d'information et/ou de streaming en direct, dont 2 écrans 100 pouces
Emplacement : Sièges Need for Seat, grande salle spacieuse, équipement, caméras et salle de réunion
Système de sono avec micros pour les annonces, cérémonies, quiz etc.
Ils fournissent 16 TV CATHODIQUES
aide au montage et au démontage,
assurer l'ouverture et la fermeture,
servir au bar
Prévoir un gestionnaire d'événements pour tous les jours,
Assurer la promo de l'événement sur tous leurs réseaux
Assurer le relais auprès de la presse
prix dans notre concours Switch MK de 4 jours de participation à la Coupe du Monde d'une valeur de 50 eurosKarel again I'm not sure I understood this :D Je pense qu'ils mettent un cash prize de 50€ mais j'attends confirmation
Relais de l'événement sur le site de l'arena avec un lien vers l'inscription et le site de la ffsmk
Aider à sponsoriser des goodies par l'intermédiaire de Nintendo et de partenaires matériels,
aide avec les sponsors financiers que nous distribuons 50-50, à l'exclusion de 25% de frais de parrainage pour le gestionnaire de compte. Supposons donc que nous trouvions un sponsor de 500 euros, puis 100 euros vont au responsable de compte et 400 euros nous distribuons 50-50.
Lars Nouwen nous propose un deal avec déjeûner et dîner à 8,50€ par jour (au lieu de 17,50€/jour pour l'arena) donc 34€ pour 4 jours au lieu de 70.
Exemple de ce que nous pourrons avoir (sachant que les options veggies seront aussi dispo):
Burgers+frites,
pasta+sate
Steaks (and veggie steaks)
risotto
Total des coûts sur place:
50 euros pour le lieu, le studio et le support + 34€ pour la bouffe + 140 euros pour la nuit (système de navettes revu et corrigé pour ceux qui iront à l'hôtel partenaire)
Coût total 224 euros.

Costs:
For use venue and studio with material, including event support, we ask 12.50 euros per person per day and then it is exclusively for you (but open to viewers / visitors) from Monday to Saturday 12.00. (4 days cost)

35 euro pppn for hotel based on a minimum of 3 people per room (4 nights
WARNING: We have a deal with a hotel this year (the one where the UK team slept last year) but it will be submitted to an INFLEXIBLE DEADLINE so we avoid bad booking surprises. People who won't book (and PAY) the hotel soon enough will have to take care of themselve. But don't worry, there are plenty of nice airbnbs in Alphen just next to the venue.
Support:
We arrange a streaming technician on Monday,
Request frontpage on Twitch.tv/esportsgamearena for all days with the goal to get at least 50.000 views (not sure we get it because of English cast),
Help with the streamoverlay,
Help in the search of casters, like Sargoth
9 screens for information and/or livestream, of which 2 100 inch screens
Location: Need for Seat chairs, studio space, equipment, cameras and meeting room
microphone and sound set for announcements and/or pub quizzes
They have a minimum of 16 CRT TVS
helping with assembly and disassembly,
ensure open and close,
running bar service,
Provide an event manager for all days,
promote the event through all our channels
ensuring press releases
prize in our Switch MK competition of 4 days participation in World Cup worth 50
create an event page on our website, including link to ffsmk registration
Assist in sponsoring goodies through Nintendo and hardware partners,
help with money sponsors that we distribute 50-50, excluding 25% sponsorship fee for the account manager. So suppose we find a sponsor of 500 euros, then 100 euros goes to the account manager and 400 we distribute 50-50.
Lars Nouwen is offering a deal that will cost 8,50€/day for lunch and dinner (iso 17,50€ with the Arena)
Type of food:
Burgers+fries
Pasta+sate
Steaks (and veggies options will be available of course)
Risottos
Total of these costs (doesn't mean it will be the CDM registration price as we can still have sponsoring decrease).
50 euro venue, studio and support + 34€ for lunch and dinner + 140 euro night (deal with "taxis" is involved even if not necessary)
Total costs 224 euro.
So that cost can be 84 if people find their own place to sleep.

They have MK8DX tournaments twice per month at Esports Game ArenA. To promote interest for the event they will be giving away 1 free entry to the CDM (to the best MK8 player basically).
They have dedicated casters for MK8 stream and we will get support from 1 or 2 of them at different points throughout the week. That is next to the caster that our community will provide (in short, Marius won't be alone during the days).
For the deal with Lars, I'll meet with him this week for the specifics, but it is 100% confirmed that he will be helping us in this department. 8)

J'en ai parlé lors des meetings avec Thomas (je suis allé à Alphen avec Karel), et normalement ça devrait être faisable. Je n'ai pas de solution explicite sous la main (en partie parce que je ne sais pas exactement à quoi on veut que ça ressemble), mais en gros Thomas m'a dit qu'on est libre d'arranger la salle comme on veut (que ça soit pour les tables, les canapés, l'estrade, etc., mais aussi pour l'affichage aux écrans).
Mise à part l'affichage aux écrans, on a aussi parlé de changer la disposition de l'estrade pour que les TVs soient dirigées vers la salle et donc visibles aux spectateurs. Bref, on sait que l'expérience de spectateur sur place n'était pas au top, et on a plusieurs solutions potentielles pour résoudre ce problème. Reste à voir comment on veut s'arranger.

content de voir que cela reste possible pour nous d'avoir l'exclusivité du bar le temps du cdm :D (même si 12,5 euros ça reste super cher... :o, (en 2018 on était a 5euros/jour/pers) je comprend que l'exclu ca se paye, mais j'suis sur y a moyen de négocier ça a 10euros max >:D >:D)
de mon point de vue "trésorier" ca me parrait un tarif plus approprié ;) même plusieurs choses me chiffonnent encore niveau prix par personnes.. mais si tu le veux bien on en parlera directement à la cup saisonnière (pour te montrer tout les coûts supplémentaires/cachés que ce soit celle de l'asso, de son évolution ou des frais spéficiques liés au cdm) qui peuvent modifier le tarif d'inscription.
edit : les frais de cdm ne se résument pas a juste une salle et de la nourriture (ce serait trop beau sinon ;D ;D)
je suis aussi dispo ce week-end chez oim si t'a envie d'en discuter autour d'une petite session smk ;) (en plus y'a plein de bières qui squatte mon bac a légumes, je sais pas comment m'en séparer :'()

D'après Thomas, 20 minutes à pieds, mais il me semble que l'an dernier les anglais parlaient plutôt de 40 minutes, je vais demander le nom de l'hôtel pour qu'on puisse faire un itinéraire!

I timed it, if you walk normal pace it will be around 40. I fast walked it once in 32-35 and gently jogged once most of the way and it was nearer 20-25 then. But definitely not 20 with normal walking. However, I absolutely enjoyed the walk even though no one else seemed to like it much. It was flat ground and easy. Plus being in a CDM with TVs and stuff all day, if anything the walk would do us very good each day there and back. We just need to hope there is not extreme hot weather or very bad rain, in that case a walk wouldn't be as great. But the walk is so small a problem I wouldn't list it as a problem at all.
Very happy with the rest of the suggestions by the way, and great to hear of Lars involvement again :)

Plus the hotel deal will include cab fares (at very little or no extra cost, still needs to be finalized). Patrick and me will be meeting with Lars tomorrow afternoon. :)

I heard that some guys weren't keen on the food last year, but it was good. But now the food will improve from good, completely bypass great, and reach amazing! Can't wait to try la Cuisine de la Nouwen.

He mentioned it might be at a little extra costs, but possibly also 0 because of the big group deal. Anyway, as Sami mentioned earlier it is also walking distance. Though not ideal for everyone perhaps, ~35 minutes worth.

Yeah it is only if there is extreme heat, which luckily that long drought just ended shortly before CDM. Or very heavy rain. Otherwise any service will be good.

Pour l'hôtel, il pourrait aussi y avoir une solution avec une location de vélo pour la semaine, peut-être ? De façon individuelle, pour ceux que ça intéresserait.
Je crois me rappeler que Zarkov (ou Moll ?) en avait parlé avant le CDM l'an dernier, je ne sais pas si finalement il avait opté pour ça et trouvé quelque chose...
Mais ça réduirait drastiquement le temps de trajet, tout en étant plutôt agréable avec le côté balade. :)

Marius & me rented bikes last year, but the capacity of the place is limited. Not like 50 of us can rent a bike at the same time. So if we want to go that route a solution would need to be found for that at least. But it was indeed a pleasant little ride. :)

J'avais en effet eu peur des deux ensemble mais si ça engage la responsabilité personnelle des joueurs et pas de l'asso, pourquoi pas.
Et puis, tout le monde n'aura pas forcément besoin de vélo puisqu'il y aura des airbnb loués juste à côté, donc le nombre max de vélos louables ne devrait pas être atteint O0

40 minutes is still a very, very, very long time to walk, especially when you're exhausted by all the noise/people all day long, and prone to insomnia like I am >< I know for a fact that if I have to walk that long every day at the CDM, I'll probably choose not to come.
I haven't exactly understood how the taxi thing would work either -you said it would be in case of extreme weather conditions ?
And I know it's been said we could rent an Air Bnb, but I'm not sure I'll be able to afford it with the travel costs and the cost of this CDM altogether (not complaining about the price btw, it's completely legit, but it's still a lot of money in my condition ^^)
EDIT : Since I'm talking about being tired all the time : is there going to be any chill zones ? The couches were very nice and all but I think everybody would benefit from a place without any noise, especially since the Game Arena can get very loud very quick. Even having earplugs all day didn't prevent me from having a meltdown because of that, and I wasn't the only one suffering from it.

The plan is to get taxis from the hotel no matter what the weather is.
But we still have to discuss with the hotel exactly what that deal will be (in terms of extra costs yes or no).
The room used for the trophies last year will be used as a chill zone. When the door is closed, the noise level should be ok there.

How would the meal planning work ?
Every single player has to go to the Lars', order, eat there and finally go back ? or would the meal be "ordered" and delivered to the venue ? (also has to know who wants what in advance so this can work)
I can't picture that ~50 people go to Lars', order, wait for preparation, eat, go back and expect that the whole process would be quick (champ schedule, etc...)
Don't get me wrong, I'd love to go to a restaurant, eat and chill there every day at CDM 8)

No the choice of meal will be like when it's delivered. So known in advance. All the variation in that will be vegetarian options and food allergy based that has to be clarified in advance when registering. We will walk to the place when the food is roughly ready, we have an entire wing for us. There is a 90 min break for dinner usually, the walking takes 10 mins (5 and 5 back), 20 when we count having to wait for Aron. ::)
Alternatively it all gets delivered at the arena like last year, but Lars told me he prefers hosting us. And I personally think it's no problem; in fact it would be a nice moment of the day for a change of scenery.

Just be careful in case we're late on the schedule (it arrived one time in 2018, we launch diner when player continue to play for gain time). but maybe lars can delivered meal in this specific case ? (if it exceptionally arrive)

Not for you and I maybe, but for people having to deal with chronic fatigue and/or anxiety disorder a half hour walk everyday can be quite a hassle to put it lightly. Not saying this against Alphen just pointing out that this is an actual issue for some.

i just have a small issue,
one week ago i discuss with Jarmou about all the "hidden costs" (witch you must know and take in count) and the generic cost of a cdm.
so with theses new costs, (i'm a treasurer in soul ;D) i keep don't understand how it's possible to keep this price of subscription ???
i've made a lot of calculation and i didn't understand how you can be positive in the end of the cdm.
i don't want to denigrate, just understand and be reassured, because for me it's a real, real important point.

Have we determined a subscription price?
We 'only' know the costs per person for aspects such as venue, food and hotel (and that's all looking better than last year). But we didn't decide on an operating margin right, correct me if I'm wrong (Sophie)?

i'm a little lost with the main topic.. (a lot of edit :-X) but here is what i understand : the first price for a whole cdm was 120Euros and now it's 86 Euros

Ok, I will let Sophie answer that as I don't know if thats with operating margin yes or no.
Also, Esports are looking at more sponsors to see if we can reduce the subscription fee. I'm meeting with Thomas again the coming weeks to see. But that's not sure of course, so the costs given in the topic are accurate for now.

please, calculate a whole price for a cdm..
i know it's complicated to have a price 8month before. But i've given all "specific" cost for the ffsmk stuff. I know the price can move down with the sponsors (i hope :D) but you must present a price for giving idea to players.
if we make a poll to decide a cdm, it's not very fair to write 86Euros and after the poll passing it to 120 Euros or more.. :-\ (even if I know it's probably a mistake ;))

Je vais le dire en français mais grosso modo, nous avons ici décrit de manière transparente ce que les gens allaient payer et pourquoi. Il n'a pas été question de fixer un prix d'inscription définitif, puisque nous pouvons encore le diminuer via la participation de sponsors. Je me permets de glisser un "NORMALEMENT ON VERRA BIEN", puisqu'on a le droit.
Le post initial a été édité pour plus de "clarté".
Les coûts cachés, à mon sens, doivent être amortis par les inscriptions des adhérents et l'argent qui reste sur le compte. J'ai suffisamment entendu l'an dernier que "ça servait à ça". De toute manière, si le projet Alphen passe, je serai bien obligée de gérer tout ça avec le futur trésorier.

en fait il faut comprendre les tarifs évoqués au sens "sur le prix final de l'inscription (pas encore fixé pour l'instant), il y aura déjà 84€ pour lieu/bouffe + 140€ pour l'hotel (pour ceux qui y dormiront)"?

I think the idea that we can leave the venue for an hour or so for our dinner is actually a great idea. I think it will provide another chance for people to interact easier since eating at the arena just feels like a bit of a break and I don't stop thinking about the competition really (F1 machine doesn't help).
I think to help with the viewing if you turn all the televisions on the stage area around so that they face back out into the venue would help too.

From what we were told, yes, they were to be the definite week. But will let the management confirm as the voting is finished with Alphen in the lead. I guess we just wait for the official announcement and the registration forms to go up which I think will be soon.

I have found that is probably possible here for a decent price, but before I gather more information I would like to first ask here if there is any interest in that and maybe get an indication on how many people would be interested.
Obviously so I can get try to get some type of barter deal if possible.
You might have noticed it is all flat over here and there are a lot seperate bycicle lanes which makes it quite safe to go around by bike.
My first guess is it might be around or just north of 50 euro's for 5 days and people staying at the same place could possibly share one (assuming they have back seats)

Most CDMs we have had near 30c and last summer was very hot for too long.

Also Mike, im def interested in renting a bike for a week. The place il be staying is about 3km away from the venue which I dont mind walking everyday but id prefer to cycle if I could.

Yeah we'll be fine but just that we had an unusually long heatwave last summer. Most CDMs we are very close to the venue so we are close to shade within a few minutes walk. This is just to avoid walking in open air for too long if it did get really hot. Bringing a parasol would be another solution but Karel's and Mike's proposals will suffice anyway.

No need to worry about that Sami,
Alphen tends to be a bit cooler than London and the venue's in France, due to it having more influence from sea winds.
Last years heatwave was only 30+ the last 4 5 days or so and before that it was a very tolerable 25-27.
Also the sun is slightly weaker here than in France due to it being more northern.
And lastly, there is almost always a bit of a breeze which makes cycling generably fairly comfortable, more so than walking even.

Martin gave me a bike to use last year. I'm a competent cyclist, but man was it terrifying cycling from his to the venue. I think it was mostly to do with the cycle lanes being like a road system in itself, but everyone cycling on the right instead of doing it correctly and being on the left.
My alarm was eased though when I saw Raph waiting for a bridge to lower. I was also amazed at the built in bike locks every bike in Holland seems to have built in. Why that isn't on every bike outside or Holland I don't know.

Étant donné la situation actuelle de l'asso, pour le moment je gère l'organisation du CDM comme si l'Esport Game Arena allait assumer toute la gestion administrative du CDM, et la FFSMK servirait de relais ici pour les francophones. Donc nous avançons malgré tout!

I don't do sharing rooms, if I were to book myself my own room at the same hotel (I assume its the Van der Valk Hotel Avifauna) seperately, would I still be able to use the 'taxi' service or would I have to make my own way to/from the hotel?

depends on who else would be doing it as there don't seem to be many airbnb near the venue for less than 3 or 4 people.

I got an airbnb about 3km from the venue (which is about the same distance away as the hotel is), and that could technically be for 1 though il be with the gf. I dunno what is deemed close to the venue, but 3km is fine for me. Nice bit of exercise to and from each day. There seemed to be a decent amount of airbnb places about though.

Hi Sophie, I e-mailed a few questions to FFSMK yesterday, waiting for reply. I will ask here as well as it is similar situation.
Conor, Leyla and I already booked our room at van der Valk Avifauna. So can I make a separate payment to FFSMK for 3 of us to use the transports? Please check with Thomas and let us know how much and I will add that on or send a 2nd payment after the main fees.
So basically we are using the limited package which was 100 Euros each. But would need to pay the difference for the transports but not for a hotel room again as we arranged that already.
Also, no PayPal this time? Is it bank transfer only?

EDIT: I just made the bank transfer for 3 of us, the bank needed the FFSMK Organisation's Registered Address. I think I gave an old expired address by mistake as I couldn't find it on the FFSMK site (I am sure it is there somewhere I just didn't have time to look hard enough), but the IBAN number is correct and they found the bank's address so hopefully it arrives. Please can you check if it arrives in the next week so I know and hopefully don't have to visit them again.
Also ideally if we can use PayPal or something next time it will be easier like last year - for the transport to venue as we only need to sort that out.

"I expect the hotel will offer taxi service Tuesday till Friday in the morning. For the way back we can arrange paid taxi service or people can walk for about 20min (firm pace) along the river Rijn."
