I would have liked to post this a while back, but unfortunately shit happens and here we are.

To get straight to the point: we need a new plan / organizing team for CDM 2023.
For the last 5 years, essentially the same team has been organizing CDM (or equivalent event) at the EGA in Alphen. Unfortunately, we can't continue this into 2023. First and foremost: the core organizers (Karel and myself) are burned out. Secondly, we've been increasingly disappointed by the EGA administration and have reached the point that we don't think CDM should be held there again, regardless of whether we are the organizers or not.

I already spoke to a few key community members about this at the end of last CDM, but this means that we need a new organizing team (and location) for 2023. Since the last CDM outside of Alphen was back in 2017, I figure it would be a good idea to provide some info on things to keep in mind when planning to organize such an event.

I'll start with something slightly different than the items I'll list afterwards, which is that in order for an event to receive approval from the IASMK as an "official" tournament (i.e. CDM), the bans and suspensions issued by the IASMK must be upheld. If you're not sure about who that covers, feel free to contact me. With that in mind, here are some practical matters to consider for any CDM proposal (some of which may be more obvious than others):
- venue: where the competition happens. Ideally with enough room to comfortably arrange up to ~30 tournament setups, along with a stage and spectating area. Another important point that is easy to overlook is that the venue's electrical setup must be capable of handling up to ~30 tournament setups. This is non-trivial given the power needed for that many CRTs.
- accommodation: people need a place to stay for the duration of the event. Traditionally sleeping in the venue or camping nearby has been the norm, but in more recent years (and with the average participant age continuing to increase) expectations have shifted towards nicer sleeping arrangements. Having enough (and affordable) hotel/AirBnB/etc. spots nearby is more and more important as the years go by.
- location: how easy is it to get to the venue, especially for international players? Ideally it should be feasible to quickly get to the venue via public transportation from an international airport.
- food and drink: traditionally, there is at least a food plan available for participants that covers lunch and dinner for the duration of the event. This has ranged from catered meals to groceries prepared by participants. In any case, there should be a defined plan to feed participants as part of the event organization. There should also be a selection of beverages available (both alcoholic and not).
- dates: CDM should take place in either the second or third week of August. Anything outside of that range is likely to fall in the category of "if we have no other choice".

One more thing to note is that the IASMK can provide a number of high-quality TVs (the PVMs acquired prior to CDM 2022) assuming the event is within reasonable trucking distance of the Netherlands.

J'aurais aimé poster ceci il y a un certain temps, mais malheureusement les choses arrivent et nous voilà.

Pour aller droit au but : nous avons besoin d'un nouveau plan / d'une nouvelle équipe organisatrice pour le CDM 2023.
Au cours des 5 dernières années, c'est essentiellement la même équipe qui a organisé le CDM (ou un événement équivalent) à l'EGA à Alphen. Malheureusement, nous ne pouvons pas continuer cela en 2023. Tout d'abord, les organisateurs principaux (Karel et moi-même) sont épuisés. Deuxièmement, nous avons été de plus en plus déçus par l'administration de l'EGA et avons atteint le point où nous pensons que le CDM ne devrait plus se tenir là-bas, que nous soyons les organisateurs ou non.

J'en ai déjà parlé à quelques membres clés de la communauté à la fin du dernier CDM, mais cela signifie que nous avons besoin d'une nouvelle équipe d'organisation (et d'un nouveau lieu) pour 2023. Étant donné que le dernier CDM en dehors d'Alphen remonte à 2017, je me suis dit que ce serait une bonne idée de fournir quelques informations sur les choses à garder à l'esprit lors de l'organisation d'un tel événement.

Je vais commencer par quelque chose de légèrement différent de ce que je vais énumérer par la suite, à savoir que pour qu'un événement soit approuvé par l'IASMK en tant que tournoi "officiel" (c'est-à-dire CDM), les bans et suspensions émises par l'IASMK doivent être respectées. Si vous n'êtes pas sûr de qui cela couvre, n'hésitez pas à me contacter. En gardant cela à l'esprit, voici quelques questions pratiques à prendre en compte pour toute proposition de CDM (dont certaines peuvent être plus évidentes que d'autres) :
- le lieu : où se déroule la compétition. L'idéal est de disposer d'assez d'espace pour organiser confortablement jusqu'à ~30 postes de tournoi, ainsi qu'une scène et une zone pour les spectateurs. Un autre point important qui peut être facilement négligé est que l'installation électrique du lieu doit être capable de gérer jusqu'à ~30 postes de tournoi. Ce n'est pas une mince affaire compte tenu de l'énergie nécessaire pour alimenter autant de TV cathodiques.
- hébergement : les gens ont besoin d'un endroit où rester pendant la durée de l'événement. Traditionnellement, la norme est de dormir sur place ou de camper à proximité, mais ces dernières années (et avec l'âge moyen des participants ne cessant d'augmenter), les attentes ont évolué vers des conditions de sommeil plus agréables. Il est de plus en plus important de disposer d'un nombre suffisant (et abordable) de chambres d'hôtel, d'AirBnB, etc. à proximité.
- localisation : est-il facile de se rendre sur le lieu de compétition, en particulier pour les joueurs internationaux ? Idéalement, il devrait être possible de se rendre rapidement sur le site par les transports en commun depuis un aéroport international.
- nourriture et boissons : traditionnellement, il existe au moins un plan de restauration pour les participants qui couvre le déjeuner et le dîner pendant toute la durée de l'événement. Il peut s'agir de repas préparés par un traiteur ou de produits alimentaires préparés par les participants. Dans tous les cas, il doit y avoir un plan défini pour nourrir les participants dans le cadre de l'organisation de l'événement. Une sélection de boissons (alcoolisées et non) doit également être disponible.
- les dates : le CDM devrait avoir lieu au cours de la deuxième ou de la troisième semaine d'août. Tout ce qui est en dehors de cette fourchette est susceptible de tomber dans la catégorie "si nous n'avons pas d'autre choix".

Une autre chose à noter est que l'IASMK peut fournir un certain nombre de TVs de haute qualité (les PVM acquises avant le CDM 2022) en supposant que l'événement se trouve à une distance raisonnable de camionnage des Pays-Bas.

Salut à tous,
Je viens de lire le message et suis étonné que vous soyez déçu par l'EGA, ça me paraissait bien se dérouler là bas.
Je vous avoue que j'ai toujours en tête d'organiser un CDM en France, malheureusement à Gasny, la ville ou j'habite, cela me parait impossible par rapport à la distance du village à la gare la plus proche (15 mn en véhicule) et au manques d'hôtel et de AirBNB à proximité pour les personnes non véhiculé.
J'avais essayé de contacter une association de jumelage avec Castle Donington (Angleterre), car ils ont des chambres chez les particuliers pour les héberger, mais Aout n'était pas le bon mois car ils étaient quasiment tous partie en vacances.
Mais depuis j'ai trouvé un autre travail dans un centre culturel et où je travaille actuellement il y à une salle qui se loue pour des salons, forum etc etc...
Elle serait parfaite pour un CDM car:
-Elle fait 600 m2 + une mezzanine de 300 m2 ou l'on pourra faire un coin chill, un autre restauration
-Dans la salle il y a un bar et une cuisine, reste a trouver des traiteurs et autres pour nous faire a manger
-Elle me serait prêté gratuitement
-Elle est à 5 mn de la gare à pied (Gare de Vernon-Giverny)
-Elle est situé en centre ville de Vernon ou il y a beaucoup d'Hôtel et de AirBNB (41 hôtels et autre hébergements sur Booking.com)
-J'ai tout ce qu'il faut un tv (une centaine) grâce a mon association. il n'y a aucuns problèmes en ce qui concerne l'électricité
-Sur place il y a une scène, une sono, des lumières, des écran avec Video Projecteur etc etc (c'est mon boulot, je suis régisseur de spectacle, je pourrais tout installer sans problème)


Par contre:
-je ne pourrais pas organiser un CDM tout seul, j'ai besoin de créer une équipe qui pourra m'aider.
-Personne ne pourra dormir sur place, une alarme doit être mise des notre départ chaque soir
-L'aéroport le plus proche c'est Paris, après il y à 1 heure de train pour arriver à Vernon
-Le centre culturel est fermé les 3 premières semaines d'aout, il nous resterai que la dernière semaine de dispo en 2023

Je suis OK pour accepter et respecter les bans de 2022

-It would be lent to me for free
-It is 5 minutes walk from the station (Vernon-Giverny station)
-It is located in the centre of Vernon where there are many hotels and AirBNB (41 hotels and other accommodation on Booking.com)
-I have all I need for a TV (about a hundred) thanks to my association. There are no problems with electricity
-On site there is a stage, a sound system, lights, screens with video projector etc etc (it's my job, I'm a show manager, I could install everything without any problem)


However:
-I can't organise a CDM by myself, I need to create a team that can help me.
-No one will be able to sleep on site, an alarm must be set up from the moment we leave each night
-The nearest airport is Paris, after that it's a 1 hour train ride to Vernon
-The cultural centre is closed the first 3 weeks of August, we will only have the last week available in 2023

I'm OK with accepting and respecting the 2022 banns

As some of you may know things have been pretty rough for me over that last few weeks with my Parents falling sick and my father at this moment in a high dependency ward in a Dublin hospital. For all those that sent good wishes i thank you all.

However i do get some time to check twitter or forums and i would like to be the first here to put a cautious nod of agreement and lots of intrigue at the proposal by Jeremy. On paper this venue sounds perfect and in regards having cooking and drinking facilities right there that sounds like a dream. Some really bad SMK players could actually be great cooks so we could put them to work after they get yeeted out of that days competition.  ;D

Some questions though.

1: Does the venue have very strong internet that could handle multiple streams and captures?

2: When you say an hour from the airport are you refering to CDG or Beauvais? Also is there rail links from both?

3: Will this be a bring your own beer/drinks event. And if so have we got cooling facilities to store our glorious fermented beverages?

4: Am i banned for being very negative towards the Gasny bid a few years ago?  :o



To conclude i do like the sound of this bid. And i hope a lot of people can come on board and make this a great event. I would like to finish by saying thank you to all at the EGA and the IASMK team for 3 great events that i had the honour to attend in 2019/21/22

Hi Paul, already best wishes to you. I didn't know about your parents and I wish you all the best for the new year 2023.

Otherwise there is a kitchen integrated to the room where we can cook what we want, but I do not want to cook (it's better for you anyway lol)
I was thinking of taking a caterer for our meals but if some of you are hot to cook us some good dishes, why not (it will cost us all less)

1: Does the venue have very strong internet that could handle multiple streams and captures?
There is fiber in the city, we would need a box to have high speed internet in the room but no worries

2: When you say an hour from the airport are you refering to CDG or Beauvais? Also is there rail links from both?
It's almost the same for both airports: 1h drive from Paris or Beauvais and both have train stations where you can get to "Vernon-Giverny" in about 40 mn by train

3: Will this be a bring your own beer/drinks event. And if so have we got cooling facilities to store our glorious fermented beverages?
Of course you can bring your own beer, there is a huge fridge in the kitchen (see photo), parking meter avoid drinking too much if you are not able to handle the situation otherwise there will be ban as already done for the subject

I give this bid a big +1 and really hope it all comes together. That garden looks stunning and the mezzanine will probably have FF up there taking pics from many angles  ;D

I just really love Jeremy putting the Pokestops into a proposal video and it gave me quite a bit of a chuckle.  ;D

Wow, this looks like a very promising proposal! Most preliminary information has been covered already, but a couple other questions come to mind:
- do you have a rough estimate of costs for participants (ideally including accommodation)? I understand that it's impossible to give an exact number, but it would be nice to have an estimate.
- you mention that the venue would need to be closed each night. Would there be a specific time for that, or would it be whenever we're done?

There are no camping facilities nearby but there is the CRJS (Centre Régional Jeunesse et Sport) which has rooms with 4 beds (with shower and toilet) and there are 100 beds available there, and it is 25 Euros per person.
This makes for cheaper nights, and we could all be in the same place

Merci Jerem' pour la proposition et la vidéo, ça a l'air bien bien cool tout ça ! :D 8)

J'aime particulièrement la mezzanine qui pourrait servir de coin "chill" notamment (à condition d'y ramener quelques canapés 0:)), si le son de la salle ne monte pas trop brutalement en haut ;D
Nickel le CRJS pour les hébergements petits budgets ;)

Juste pour être clair là-dessus: la gare de Vernon-Giverny est à 49-57 minutes de la gare Saint-Lazare (Paris), selon le train choisi dans la journée.
Pour accéder à la gare Saint-Lazare depuis votre gare ou votre aéroport d'arrivée parisien, je vous recommande d'utiliser l'application Citymapper, qui vous présente les différentes options possibles de trajet et les timing correspondants (et/ou l'application SNCF Connect pour les trajets en train partant/arrivant hors de Paris).

Pour les coûts prévisionnels, je pense qu'il faut partir sur une estimation "hors hébergement", car les frais d'hébergement peuvent pas mal varier selon que l'on prenne une chambre au CRJS ou à l'hôtel notamment.

Mais surtout, je dois faire un très, très gros aparté, où je ne vais pas y aller avec le dos de la cuillère, sur la partie "SMK = eSport", aspect sur lequel certains se fourrent le doigt dans l'œil jusque dans des zones inexplorées de leur anatomie
